The Central Operations Coordinator is responsible for overseeing the smooth and efficient operation of the Razzamataz Head Office team. This role plays a central part in supporting the leadership team, coordinating administrative and legal tasks, and maintaining a well – organised, productive and positive work environment. The successful candidate will be proactive, dependable and an excellent communicator, with a strong focus on supporting the team and contributing to the overall success of the organisation.

Principal Duties / Key Objectives
1 Email Management: Check and manage emails daily, ensuring timely responses and follow ups.
2 E-Signing and Document Management: Manage e-signing processes for documents, including sending documents for signing and ensuring completion.
3 Diary and Meeting Coordination Manage the Head Office diaries, including scheduling internal and external meetings, booking venues, liaising with stakeholders, and handling associated administrative tasks such as raising invoices, confirming attendees, catering arrangements, and securing quotes where required.
4 Event and Project Administration Provide full administrative support for Head Office events and projects, ensuring all logistical details are well organised and effectively communicated to relevant stakeholders.
5 Contract Management Oversee the full lifecycle of legal contracts with prospective and existing franchise partners, including issuing, tracking, and storing contracts and Non-Disclosure Agreements using established templates and SharePoint filing systems.
6 Franchise Renewal Process Coordinate the renewal process for existing franchise partners, ensuring all documentation is accurate, issued in a timely manner, and filed securely and correctly in SharePoint.
7 SharePoint Management Take responsibility for maintaining and organising the company’s SharePoint filing system, ensuring folders, files, and records are consistently up to date, easy to navigate, and compliant with internal processes.
8 Franchise Onboarding Support Work closely with the Operations Manager to support the onboarding process for new franchisees, helping coordinate training logistics and ensuring all administrative tasks are completed to a high standard.
9 Resales Administration Manage the administrative process for franchise resales, following the approved roadmap, keeping track of deadlines, and ensuring all required documents are prepared and saved appropriately.
10 Revenue Stream Coordination Oversee the delivery of additional revenue streams, ensuring franchise partners receive timely, accurate information and support materials to enable successful implementation and launch.
11 Internal Communications Prepare and distribute clear, professional communications to the franchise network as directed by the leadership team, ensuring updates and messages are timely, wellformatted, and aligned with the Razzamataz brand.
12 Stakeholder Liaison and Support Act as a reliable point of contact for both internal teams and external stakeholders, maintaining strong professional relationships and ensuring prompt, supportive communication at all times.
Qualifications
Educated to QCF Level 3 (A Level, Scottish Higher or equivalent) or equivalent experience.
A business or administration qualification.
Office Management related training / certifications would be an advantage Experience
Previous experience in a relevant role dealing with online filing systems and legal documents such as Non Disclosure Agreements and Contracts and understanding of the relevant terminology.
Previous experience within an Event Administration role seeing a project from beginning to end managing venues, stakeholders, dietary requirements, feedback forms
Knowledge, skills and abilities
Skills and knowledge to provide advice and support (e.g. to an administrative process) interpret requirements and produce appropriate solutions based on a general brief and be able to create standard and more complicated documents or materials for others.
Analytical ability to understand and interpret information and make recommendations. For example, skills for analysing data and reports.
Ability to be tactful and diplomatic when required, as a front-line service provider, to deal with confidential and sensitive situations.
Knowledge of relevant IT packages, information systems and procedures, ability to adapt/transfer skills to use new technology, development and maintenance of systems. E.g. Microsoft Office
Professional approach to work and work colleagues and an ability to work independently and show initiative.
Ability to work under pressure with competing deadlines in a changing environment.
High level of attention to detail and accuracy

You may on occasions and in line with operational needs: - Be required to work different hours including at weekends/evenings, max 10 per year;
- Be required to travel for meetings and events, max 8 per year in person meetings/ events.
