Aims and purpose of the job
To assist with the effective administration of the David Allen Wills and Probate department by ensuring compliant and efficient work is carried out at all times.
To develop skills in providing an effective, compliant and client-friendly will-writing and estates planning service to David Allen clients, thereby adding value to, and supporting, the Estates Planning Team in their corporate objectives and client services in order to develop further.
To assist with the effective operation and promotion generally of David Allen Accounts through the achievement of individual and team objectives; and promoting the David Allen Wills service to generate new client relationships and referrals.
Will Writing
1. Become competent in drafting, preparing and registering wills, Lasting Powers of Attorney and other estate planning documentation, of varying degrees of complexity, together with any ancillary documents and correspondence.
To prepare these documents according to clients’ instructions, in a timely manner, and in full compliance with statutory and regulatory authorities and the standards.
2. To continually develop and improve your knowledge relating to the statutory, regulatory and best practice provisions relating to estates planning, to ensure a high and professional standard of will-writing and estates planning service to clients.
Communication and Correspondence
3. To deal with all communications in a timely manner and ensuring all are of a high professional standard, replying the same day where possible.
4. To accurately maintain client records and correspondence on company systems, making sure that all compliance, data protection, and regulatory standards are met.
5. To communicate with clients and any external parties to ensure they are kept fully informed as to progress.
6. To develop your own knowledge and understanding of each client that you work with ensuring you meet their expectations, and they are well looked after.
Quality
7. To ensure all work produced is to the highest standard in accordance with current legislation.
8. To plan, manage and prioritise your own workflow and productivity to ensure your targets and deadlines are achieved.
General
9. To work with and support the wider team in order to help manage the team caseload and to ensure team targets relating to fees, financial targets and referrals can be met.
10. To assist in managing all department administration when needed including incoming and outgoing post, sorting and filing of all correspondence.

Education / Qualifications
GCSE or equivalent at grades A*-C (9-4) in Maths and English.
A legal qualification such as a law degree or equivalent.
Skills/ Knowledge/ Experience
Some experience working in an office providing administrative support.
Some experience of wills and probate or legal work.
Some experience with electronic documents and record filing/retention systems.
Excellent computer skills, ability to use Word/Outlook/Excel to a high standard.
An aptitude generally for technology, confident using IT systems to input and store personal data.
High levels of accuracy and attention to detail with work methods to ensure work is correct.
Excellent written and verbal communication skills.
Excellent customer service and interpersonal skills.
Some experience managing team diaries.
